The short answer
A good holiday itinerary template has one section per day, and in each day the timed things in order: what, when, where and the booking reference. Add where you're staying and the key phone numbers at the top, and leave space. Fill in the fixed bookings first, then the plans around them.
How to fill in this itinerary template
- Set the dates first.
Enter the first and last day. The template makes a section for each day, labelled with the weekday, because "Tuesday" is how you'll think about it on the trip.
- Put in everything with a fixed time.
Flights, trains, check-in, tickets with an entry slot, restaurant tables. Use the time printed on the ticket, which is the local time where it happens.
- Add the references.
The booking reference or confirmation number goes in the third column. At a desk, that's the thing they ask for.
- Then the loose plans.
A morning at the beach, the market, a walk. Write "morning" or "afternoon" rather than a time: plans without a ticket should stay flexible.
- Leave gaps.
If a day already has three timed things, it's full. A free afternoon is a plan too, and it's what rescues the day when a train is late.
- Print one, share one.
Print a copy for the folder and save a PDF to your phone. Send the PDF to anyone at home who should know where you are.

Paper, PDF or app?
A printed itinerary never runs out of battery and is easy to hand to a grandparent. A PDF on your phone is easy to share. The weak point of both is that they're out of date the moment a booking changes, and they don't hold the tickets themselves.

Should I use local time in my itinerary?
Yes. Write every time as it's printed on the ticket, which is the local time where it happens. A flight that leaves at 10:40 in London and lands at 13:20 in Lisbon is written exactly like that.
Can I use this as a family holiday itinerary template?
